Important Update: Return to Campus / LOA / LOI / Travel Permits

Dear Colleagues

This Return to Campus (RtC) update includes updates on access to campus, research sites, Travel Permits, COVID-19 Health Assessments and Inductions.  Please circulate within your Departments/Divisions/Units.                                                                                                                                                                                                                                           

Reference to UCT Phases is based on the following:

·         Phase 1 – FHS Related [Essential related Staff, Final Year MBChB and Health and Rehab Students]

·         Phase 2 – Approved Research related Staff and PG Students

·         Phase 3 – Approved Vulnerable UGs and PGs and related Staff

·         Phase 4 -  Staff at UCT have been asked to continue working from home where possible. This approach remains our default position to ensure that we minimise the significant risk that COVID-19 presents.
                  Phase 4 includes staff that departments have identified whose work requires them to be on campus. [Daily or periodically] This is confirmed after the results of a Health Risk Assessment.

2020 Letters of Authority (LOA)

  • All permanent LOA’s issued in 2020 are still valid for 2021.
  • If you have a LOA from Phase 1 [Essential related Staff, Final Year MBChB and Health and Rehab Students] you would have been requested to complete a Health Risk Assessment using RedCap.
  1. Letters of Invitation (LOI) to return to campus:
  • Phase 4 Batches are continuing in 2021, and will need approval from the related Head of Division / Department before submission to the Deanery via FHS Operations to approve the request.
  • PG/PD Students will further be approved by DVC: Sue before issuance of the LOI.

  1. Long Term LOA
  • Phase 4 request for Staff/ PD / PG Students to return to campus is being consolidated within FHS Operations. Please send your approved request to this e-mail address. A batch will be prepared weekly by COB Friday for issuance of LOI and LOA for the following week.

  1. Short Term LOA
  • These are staff or PD/PG Students that require short term or ad hoc access to campus (two weeks or less) and did not receive a travel permit or LoA during Phases 1-3.
  • You are still required to complete the daily Higher Health / Similar Assessment for entry to Campus.
  • Short term access request should be submitted to FHS Operations. These request are issued bi-weekly. Every Wednesday and Friday only.

  1. Travel Permits
  • These are staff or PD/PG Students that travel during curfew hours for work purposes.
  • Approved permit request should be submitted to FHS Operations. These request are issued bi-weekly. Every Wednesday and Friday only.

  1. COVID-19 Health Assessments and Induction Related:

 

  1. Personal Health Risk and Medical Vulnerabilities Assessment
  • Staff and students should complete their Personal Health Risk Assessment to ensure that will be issued with a LoA to access campus.
  • There is a timing difference between when you have completed the assessment and when you receive a LoA to access campus. A temporary LOA will assist during this waiting period.
  1. COVID-19 Induction Training
  • In terms of UCT’s Return to Campus Process, all staff and PG/PD students that are part of Phase 1 – 4 RtC process, will be required to complete an official COVID-19 Induction Training.
  • You will receive an e-mail from MakroSafe or Safety Wallet requesting you complete the induction once you have completed your Personal Health Risk Assessment.
